It is springtime! Spring cleaning is not just about de-cluttering your home and cleaning out your closet, you may not want to overlook the digital aspect of your life as well. This is the best time to focus on some of the technical projects that you have been planning to do but did not have the time for. We came up with a digital spring-cleaning list as a guide to help give your business a seasonal refresh:

 Upgrade your Hardware

If your business is still running on older computers and servers, now is the time to think about upgrading them. It may seem cost-effective to keep older hardware, but it will cost you more in the long run. While the initial cost of newer technology can be a lot, you also must think about the cost of maintaining them, cybersecurity risks, and your staff’s level of productivity.  The older the computer gets, the slower it runs. Your staff are not able to perform as efficiently as they should be working on a lagging computer.  There are also security risks with older machines.  Some of the most recent software updates will not work on older machines, which makes data vulnerable to cyberattacks and breaches.

 Improve passwords and implement multi-factor authentication

Experiencing a data breach is a disastrous event, so it’s important to prevent them in any way possible. Make sure your employees are aware of the importance of setting up complex passwords. Have your staff create passwords that are at least 8 characters long, with a combination of uppercase and lowercase letters, symbol sign,s and mix in some numbers. On top of that, add another layer of security requiring multi-factor authentication. Not only passwords are required to get into an account, it would also require a code that is sent via email or text.

Invest in Cybersecurity Training for your staff

The most vulnerable target of email phishing scams are your employees. There are many varieties of phishing scams that employees are susceptible to. For instance, administrative assistants receiving fraudulent email requests from their CEOs asking them to purchase high dollar amount gift cards with the intention of stealing the gift card numbers

As a company, one of your best defenses is to invest on cybersecurity awareness training for your staff. An extensive security awareness training program defines clear cybersecurity knowledge for all the staff and educates them on how to recognize attack angles and help prevent incidents and better respond to potential threats.

Software Updates

What do you do when you are in a middle of a project, and a pop-up window shows up on your computer telling you that you need to update your software? Most people delay software updates because it can take a bit of time. Delaying or canceling software makes your network vulnerable for hackers to get in and access to steal sensitive information.

As much as we don’t like clicking on that update button, it is very important to do so, in order to avoid potential costly data breaches and improve the use of the software.

Encrypt Emails

Encryption a process on which data is concealed so that it is hidden from unauthorized users. It only allows the intended recipient to open and view the email. When your data is encrypted, and an unauthorized party tried to gain access, they will not be able to open it.
